Administrative Assistant
Hershey is seeking an experienced and dedicated Administrative Assistant to perform a broad range of word processing, typing, clerical and administrative duties. You will assist with making appointments, receiving visitors, composing and/or typing correspondence from dictation or handwritten, process incoming and outgoing mail, make travel arrangements, backup for receptionist/answer phones and assist in coordinating various meetings.
Other key duties include updating and maintaining the calendar for the CEO and President, creating and maintaining tickler files for corporate timetables, and maintaining a well organized filing system.
General Administrative requirements/duties are, but not limited to:
- Prepare and proofread reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, and/or presentation software.
- File and retrieve corporate documents, records, and reports.
- Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
- Research and obtain information for special assignments.
- Manage and maintain CEO & President’s schedule.
- Open, sort, and distribute incoming correspondence, including faxes and email.
- Phone/receptionist backup, greet visitors and determine whether they should be given access to specific individuals.
- Prepare agendas and make arrangements for committee, board, and trade shows and other meetings.
- Assist in the preparation & submittal of RFP bid responses.
- Assist associates with general questions regarding benefit plans.
- Prepare memos and letters pertaining to benefit plans.
Qualifications:
- Candidates must have at least 2 years administrative or clerical experience.
- High School graduate
- Candidates must have exceptional organization skills, be detail orientated, and have excellent written and oral communication skills.
- Ability to maintain confidentiality a must!
- Proficient in Word, Excel, Outlook and PowerPoint
- Positive and proactive attitude; customer service oriented
This is a full-time position. Salary is commensurate with experience.
