California State University - Northridge

The 1994 earthquake that hammered Northridge spurred California State University – Northridge to take action. No longer is there a separation between the records and admissions offices, a consequence of a revamped work process. No longer is the operation subject to the unpredictability of another damaging rumble, where temporary offices had to be set up without the ability to communicate internally. Imaging permits access to documents anywhere on campus, leaving inconvenience down there with the rubble. And CSUN made that the cornerstone of its recovery plan — to emphasize processing of transfer students’ transcripts, since it receives about 42,000 per year. “We were trying to recover from the quake and rebuild our enrollment,” says Eric Forbes, Director of Operations. After the earthquake, CSUN focused on transfer students because they were the new constituency.

Franklin University

The Financial Services department at Franklin University was in search of a document management solution that allowed for data entry automation, disaster recovery, and an indexed imaging system. After vigorous research and in-depth departmental assessments, the University chose to implement Hershey Systems' Singularity software. "At the inception of this project, we would have never believed that 65% of the manual data entry into the Colleague system, created by 57 forms used in the Financial Services department, could be automated. Yet, that is exactly what was accomplished,” states Patrick Bennett, Franklin University Project Manager. In less than 8 months, the Financial Services department scanned and indexed more than 140,000 documents. "Their product, coupled with terrific support, contributed to this project reaching a successful conclusion."

Regis University

"Regis University, School for Professional Studies has been using Hershey Systems (Singularity) Archive, Forms and Workflow for our Graduate Programs admissions process for three years. Use of the Hershey products has made it possible for faculty to review and process admissions files from remote campuses or their home. It has eliminated the issue of lost files and increased our timeliness and efficiency. The use of forms and workflow has also made it easier to communicate with the Student Records office when there are changes to the student’s academic program. Ease of use and standardization of processes through use of the Hershey products is definitely assisting us in serving our applicants and students better. San Diego State University

The faculty and staff of San Diego State University are dedicated to their students, but because of the approximate 50,000 undergraduate applicants and 6,000 graduate applications received each year, it made it difficult for the Admissions Office to perform the necessary applicant evaluation process and often resulted in student inconvenience and staff frustration. During this time of the year SDSU would employ an additional 12 full-time temporary staff members to help with the application process. SDSU commissioned Hershey Systems, Inc. and their flagship product Singularity to help SDSU obtain their goals of improving staff productivity, automating the workflow process using OCR technology and develop a technology foundation that is designed for future growth. With the use of Singularity Transcripts, Archive, Integration and Workflow, SDSU was able to obtain their set goals and eliminate their need for the 12 seasonal staff members, which resulted in a significant cost savings and a significant increase in student satisfaction.

University of Alabama

The University of Alabama solved the transfer credit problems with creative use of technology. Instead of viewing document imaging as a way to eliminate file cabinets, UA officials saw its potential for reengineering the transfer credit process. Singularity Capture and Singularity Archive software were used to automate much of the transfer credit evaluation process and eliminate inconsistencies in course evaluation. Staff created templates of other colleges’ transcripts, starting with institutions that sent the most transfer students to UA. Since a certain type of information (name, student information number, and grades) always appears in the same place on a transcript from a given university, the templates allow the software to translate the data into a usable form. UA utilizes Singularity Workflow to process the transcript data and automate the transfer credit evaluation process. UA later developed a way to process scholarships using the same technology as well as eight other departments across the campus.

University of Oregon

"Hershey’s Singularity product has improved the Registrar’s Office at the University of Oregon on a number of fronts. Before Singularity was implemented, we spent a lot of frustrated time looking for misplaced student materials. Now we are able to ensure that a student’s file is exactly where it needs to be and not hiding behind someone’s desk. And, we have reclaimed space once occupied by numerous metal cabinets full of file folders and replaced them with a light and airy space for staff workstations. In addition, our critical documents are no longer exposed to physical loss due to a natural catastrophe such as a fire. From a management perspective, Hershey's Singularity product has allowed The Registrar's Office to track the work of our staff. At any given moment, we know exactly how many and what type of workflows are in the system, the number of tasks assigned to each staff person, how long tasks are in the workflow before being completed, and more. We can easily spread our work out when necessary."
